Migrating a Growing Retailer to a Secure, Resilient Microsoft 365 Email Platform

We migrated a growing retail business to Microsoft 365, improving email security, reliability, administrative control, and long-term supportability.

Our Customer’s Challenge

A growing retail business relied on email as a critical channel for customer enquiries, supplier coordination, order management, and internal communication. However, its existing email environment was tied to legacy hosting arrangements that offered limited administrative control, weak visibility, and insufficient protection against modern email threats.

The configuration had evolved over time across multiple providers, creating uncertainty around mailbox hosting, domain ownership, DNS management, and the records responsible for directing and authenticating email. This increased the risk of disruption during any change and made troubleshooting unnecessarily complex.

The business needed to migrate its mailboxes without losing historic messages, interrupting communication, or creating confusion for employees. The transition also needed to preserve existing email addresses, support different devices and mail applications, and ensure that website forms and other business systems continued to send messages successfully.

Beyond the migration itself, the organisation required stronger protection against spoofing, phishing, impersonation, and unauthorised access. The project therefore needed to address not only mailbox movement, but also identity security, domain authentication, access controls, and ongoing supportability.

Our solution

We planned and delivered a controlled migration of the organisation’s email environment to Microsoft 365, combining technical discovery, mailbox migration, domain reconfiguration, user transition, security hardening, and post-cutover support.

Our work began with an audit of the existing environment to establish where mailboxes were hosted, how the domain was configured, which accounts and shared addresses were active, and which third-party services depended on email. This enabled us to create a reliable migration inventory and identify risks before making changes.

We then provisioned the Microsoft 365 tenant, created the required users, mailboxes, aliases, and shared addresses, and configured appropriate permissions. Existing mailbox content was migrated so users retained access to their historic email and established folder structures.

A structured cutover plan was used to minimise disruption. We prepared the Microsoft 365 environment in advance, validated the target configuration, updated the domain’s mail-routing records, and monitored message flow throughout the transition. User devices and applications were reconfigured, with practical support provided to resolve authentication, synchronisation, and profile issues.

We also strengthened the organisation’s email security posture by:

Configuring SPF to identify authorised sending services.
Enabling DKIM signing for stronger message authentication.
Introducing DMARC reporting and enforcement controls.
Reviewing administrator access and mailbox permissions.
Improving account protection using Microsoft’s identity and authentication capabilities.
Validating website forms and operational systems that sent email using the organisation’s domain.

Following cutover, we monitored inbound and outbound mail flow, investigated delivery anomalies, and resolved configuration issues across DNS, mail clients, and third-party services. We also established clearer ownership and documentation, giving the business a maintainable platform rather than another opaque legacy arrangement.

The Results

  • Successful platform migration: Business mailboxes were transferred to Microsoft 365 while retaining established email addresses and historic communications.
  • Minimal business disruption: The migration was delivered through a controlled cutover, allowing customer, supplier, and internal communication to continue with limited interruption.
  • Stronger email security: SPF, DKIM, and DMARC controls improved domain authentication and reduced exposure to spoofing and impersonation.
  • Improved account protection: The Microsoft 365 identity platform provided a stronger foundation for authentication, access management, monitoring, and incident response.
  • Greater administrative control: Mailboxes, aliases, shared addresses, permissions, and security settings could be managed centrally rather than across fragmented hosting services.
  • More reliable mail delivery: Corrected DNS and authentication records improved the legitimacy and deliverability of messages sent from the organisation’s domain.
  • Clearer technical ownership: The new environment reduced ambiguity around hosting, DNS, and mailbox management, making future changes and support significantly easier.
  • Scalable communications platform: The organisation gained an email environment capable of supporting additional users, shared functions, collaboration services, and future growth.
