Stabilising and Taking Control of an Independent School’s WordPress Website

Our Customer’s Challenge
An independent school needed support with a WordPress website that had been developed and managed by a previous supplier. As responsibility for the site transferred, the school had limited visibility of how it had been configured, which services and accounts it depended upon, and whether it could be supported safely without disrupting day-to-day operations.
The existing website also contained several signs of a generic implementation that had not been fully adapted to the school’s needs. This included an unsuitable privacy policy containing references to functionality and third parties that were not relevant to the organisation, creating unnecessary confusion and potential compliance risk.
Before further development could begin, the school needed to establish control over the website, understand its technical dependencies, resolve immediate issues, and create a practical baseline for future support.
Our solution
We carried out a structured review of the WordPress implementation, focusing on the areas most critical to operational continuity, security, maintainability, and governance.
Our work included:
Technical Discovery: Reviewed the website’s WordPress configuration, hosting arrangements, themes, plugins, user access, integrations, and external dependencies to establish how the platform operated.
Ownership and Access Review: Identified the accounts, licences, credentials, and supplier-controlled services required to manage the website effectively and highlighted information that should form part of a formal supplier handover.
Risk and Issue Assessment: Evaluated immediate technical and operational risks, including unsupported components, unclear ownership, unnecessary functionality, and areas where configuration or documentation needed to be improved.
Privacy Policy Review: Assessed the existing privacy policy against the actual operation of the website and drafted a more relevant replacement that removed inappropriate generic WordPress content and better reflected the school’s online services.
Support Baseline: Established a clearer understanding of the website estate, enabling ongoing maintenance and development to be managed through a more controlled and accountable support process.
The Results
- Improved Control: The school gained greater visibility of the website’s technical configuration, dependencies, access requirements, and areas of supplier reliance.
- Reduced Operational Risk: Immediate concerns were identified and prioritised before they could develop into larger security, compliance, or service continuity issues.
- More Relevant Privacy Information: The generic privacy policy was replaced with content better aligned to the organisation, its website, and the information it actually collects and processes.
- Stronger Supplier Transition: The work clarified the minimum information and documentation required from the outgoing supplier, supporting a more effective handover.
- Foundation for Future Improvement: The school was left with a clearer, more maintainable platform baseline from which further website improvements could be planned and delivered.
