    Part 1: What is a Project Management Methodology? 

    Just like there are multiple ways of creating an image (such as painting on a canvas or taking a photo) or cooking a meal, there are multiple ways of managing a project. This is because not all projects are the same and will need to be managed in different ways: let’s say you are managing a software development project which will have changing requirements throughout as the client realises they want more features. If you had planned the project so that each phase of the project had strict deadlines and requirements and would follow the previous phase, you would likely find that this project likely wouldn’t meet these (as the team is saddled with more work) causing you to run into trouble. This means that, although this form of management is suited to certain projects (such as construction projects), this project likely needs to be managed in a different way. 

    It’s this that has led to the development of the hundreds if not thousands of project management methodologies available – for example, as software developers realised that traditional waterfall project would hinder their development, they started to develop new methodologies which allowed for flexibility. Through the vast number of methodologies, projects can be managed in ways suited to individual requirements but still take advantage of a predefined framework. Some projects are high stakes yet are predictable, making them suitable for waterfall project management, where each phase needs to finish before the next phase starts, allowing the project to be laid out beforehand. Other projects change rapidly as new requirements are added and obstacles crop up. These are suited to agile project management methodologies, where changing requirements are built into the project itself. Furthermore, some projects may be complex and have lots of different dependencies, meaning that critical path project management (where the project timeline is defined by timeline of the most complex interdependent tasks) is suitable. Through the vast number of methodologies, we are able to use ones which are suited to the specifics of each project. 

    Part 2: What are Some of the Major Methodologies?

    As mentioned in the first part, there are hundreds of project management methodologies, each interrelated in different ways (for example, agile is a project management philosophy which contains multiple methodologies within it) and suited to different kinds of projects. However, four of the main ones are waterfall, agile, scrum and kanban.

    Waterfall is what many people may think of when you talk about project management: the project is planned out fully and then completed in distinct stages. Planning is locked down once the project begins, meaning tasks cannot be moved once they have been assigned. This makes it easy to predict what will be happening and when, but it means there isn’t much room for flexibility as tasks cannot be moved or added.

    Agile is a project management philosophy which focuses on repeating iterations of work during each stage to allow for flexibility and changes to the work. This means that work can be added to each iteration during the project, allowing for any new or uncompleted tasks. This makes it useful for projects that are likely to change, or which have an uncertain end result or have lots of client collaboration. However, this flexibility means that the deliverables may not be predictable, and deadlines may not be met. 

    Scrum is a type of agile project management where work is split into ‘sprints’, or one or two week blocks where specific tasks are completed. What tasks are completed in each sprint are defined before each sprint, allowing the project to adapt as it goes along, and lessons learnt in the previous sprint to be implemented. This makes this methodology useful for continuous improvement, but it relies on a committed team to complete the work of each sprint.

    Kanban is another project management methodology, often used as part of agile, where tasks are represented visually on a board with different columns to represent different stages (i.e. columns for ’to do’, ‘doing’, and ‘done’). These show how much work is being done in each stage, allowing you to see where you have capacity to ‘pull’ tasks into the next stage. This also allows you see potential bottlenecks. This is good for projects which need to limit work in progress and would benefit from a visual representation, but Kanban may not be useful for complex projects with lots of stages. 

    Part 3: How Should You Choose a Methodology?

    Choosing a project management methodology depends both on what your project is and what your people are suited to. As mentioned in the previous parts, a project which is liable to change may not be suited for waterfall, however one which needs to provide a specific deliverable by a certain date may not work with agile. To deem what methodologies will be suited to the project itself, look at factors such as your budget and whether this can be stretched, whether you have the ability to take risks and if there is any flexibility in what deliverables you provide, how much you will be collaborating with stakeholders, and how strict your timeline is.  Once you have considered this, think about what methodologies would be suited to this (i.e. scrum may require a more flexible budget as the tasks completed in each sprint – and therefore the precise cost of each sprint – aren’t predicted beforehand). Different methodologies are also suited to different types of teams, with agile relying on teams which are small, interdisciplinary, and self-motivated to deliver work by the end of each iteration, for example. If you have a larger team which requires more management,  consider using an approach like waterfall where work is laid out in more detail. Alternatively, if your team is smaller and more independent, think about more agile based approaches where giving teams more free rein is key.

  • Website Compliance Checklist

    At best, not adhering to those standards will negatively impact a website’s search engine rankings and discourage the public from engaging with the site. At worst, a company could be in for a big fine from the courts and regulators.

    We have compiled this general checklist of legal and regulatory requirements that websites in the UK often need to adhere to, and that {n}.bora can help to implement on your site. Please note that this is not an exhaustive list, and it’s always recommended to consult with legal professionals to ensure compliance with the latest regulations. This list isn’t in priority order, because all of these points should be present from day one of your website going live. If you have a non-compliant website, we can help to make that less daunting by working through each item to ensure you have at least the minimum compliance in place as quickly as possible and helping you to build and deliver an action plan so you can demonstrate you are doing something about your shortfalls.

    • Data Protection

      Comply with advertising standards and consumer protection laws, including rules on misleading or unfair advertising practices.
    • Terms of Service and Privacy Policy

      Clearly outline your website’s terms of service and privacy policy, including details on how user data is collected, used, stored, and shared.

    Asana is a powerful tool for collaboration and productivity, but like any tool, it’s important to use it effectively to get the most out of it. In this blog post, we’ll explore our top ten best practices for using Asana.

    1. Define your projects and tasks clearly

      One of the key benefits of Asana is that it helps you break down your projects into smaller, more manageable tasks. However, to do this effectively, you need to ensure that your projects and tasks are defined clearly. Use descriptive titles formed of achievable actions and include all relevant information, such as due dates, subtasks, and attachments.

    2. Decide on a strategy and structure for setting up, running, and archiving projects

      We often see clients with hundreds of projects in their Asana list, many of which are obsolete or unused. Avoid clutter, and make sure that you have control and governance over what is and isn’t in the tool.

    3. Use Asana’s task hierarchy

      Asana’s task hierarchy allows you to break down tasks into subtasks, which can be useful for complex projects. Use this feature to organise your tasks and ensure that everything is accounted for. You can also use the dependencies feature to create links between tasks, so that you can see how one task affects another.

You still need to carefully consider and regularly review your project risks, assumptions, issues and dependencies, ensure you have clear direction and control and mechanisms to drive pace of delivery, and have verbal conversations to support the project delivery.

  • Don’t Forget the Wetware

    Don’t Forget the Wetware

    However, consider the following story: a company has just installed some new software onto its computers. Rather than increasing productivity, however, the switch to the new software merely causes disruption. When they find the underlying cause of it, they find that the computers prefer the outdated version of the software (as it is better suited to their systems, they claim) and are refusing to use the new one…
     
    This story is (obviously) untrue: despite recent advances in AI, our machines are a long way off this sort of sentience. However, if you replace the computers in the story with people, this becomes the sort of situation that many organisations face every day. In fact, it has been estimated that 84%  of digital transformations fail. This is partly because of the above fact about humans – as we are inherently flexible, we, unlike computers, can flex back to our previous ways of working and reject changes.
     
    As experts in change management, this is the problem {n}.bora specialises in. Through a range of techniques, we ensure that your setup is suited to the people in your organisation, limiting resistance to change. However, all of these techniques consist of placing as much, if not more, emphasis on people. In this blog, we thought we’d explain two ideas that can help you shift your perspective away from tech and towards people – wetware and human centred design.

    What is Wetware?

    Wetware, most broadly defined, is the biological component of IT systems architecture. This is often used in the context of brain-computer interfaces and other situations, both theoretical and real, where humans and machines are integrated into one system. However, it can also be used in the context of everyday IT to consider people as part of an IT system rather than users of the system. In other words, you consider an IT setup to consist of three parts: hardware (the machines people use), software (the programmes run by the machines) and wetware (the people who use the machines) rather than just hardware and software. 

    This means that you see your people and their processes as part of your system and take them into consideration when you make changes to it like you would with any other part of the system. You can do this via making sure that any changes you implement would work with your current system (i.e. making sure any new hardware or software is suited to your people), or editing your system to fit the new changes (i.e. changing how your people work to fit the new system). Here, however, we run into the issue we encountered in the introduction: humans are more flexible than IT, meaning that changes you ask them to make aren’t guaranteed to stick. This implies that, if possible, it is easier to make changes to your IT by fitting your hardware and software around your wetware/people, rather than fitting your people around your hardware and software.

    This sounds straightforward enough, but raises the question of how to fit hardware and software around people. One way of doing this is through the idea of human centred design. 

    What is Human Centred Design?

    Popularised by design and consultancy firm IDEO, human centred design is a form of design that focuses on ensuring that the product is suited to the user’s actual needs, rather than the needs the designer assumes. Through beginning the design process with a stage of in-depth user observation and keeping the user in mind throughout the design process, it is ensured that the product is truly fit-for-purpose. This makes the change management process easier – going back to my original story, the new software would have been as suited to the hardware as the old software, ensuring that it wouldn’t have been rejected by its users. IDEO gives the pertinent example of when they were asked to design a data entry device to be used by nurses during a medical procedure. Originally conceived as a two-handed device, the design team realised that this wouldn’t be practical when they observed nurses in the field, as they noticed that nurses would usually hold the patient’s hand during the procedure. In response to this, the team created a device which could be operated one-handedly. This is something that would likely not occur to someone who hasn’t witnessed the procedure (as handholding isn’t technically part of the process) but would still have a major impact on the usability of the device. This demonstrates how taking the time to observe how people perform processes is key to the success of a design.

    Although performing a digital transformation or implementing an IT system may not be as design-heavy as creating a medical device from scratch (you will likely be using pre-brought hardware and software, for example), starting with observing how your system will be used and keeping the user in mind are still key.

    When choosing an appointment booking system for a busy doctor’s surgery, for example, software which is less functional but quicker should be chosen over slower software with greater functionality, as the priority for this situation will be booking appointments quickly to make sure that patients aren’t waiting in the queue for too long.

    These ideas were key for {n}.bora when building an app to allow construction workers to complete on site documentation digitally. One of the first things we realised after meeting with team members was that this app needed to have offline functionality, as many construction sites were in areas without good phone service, meaning that devices wouldn’t always be connected to the internet. To combat this, we created a system where any documents submitted whilst offline would be stored in a cache until the app regained internet connection, and then submitted to a cloud system. We also made the interfaces simple and chunky, so they would be easy to operate if the user were wearing gloves or working in the rain. By doing this, we made sure the app was suited to the situation it was going to be used in.

    How Can International Diversity Impact Your Business Operations?

    This is due to international diversity, or various social, cultural, and economic differences between countries. In this blog, we hope to explain these differences and how they can cause problems for your organisation if you don’t take them into consideration.

    What is International Diversity?

    As we all know, there are vast differences between different countries. These include differences in climate, economic development, demographics, technological development, infrastructure, and so on. Beyond these, there are cultural differences, such as differences in etiquette and values. These are rapidly changing due to factors such as technological development and globalisation. Some of these (such as differences in climate or infrastructure) may be easier to pinpoint. However, some (such as cultural differences) may be more difficult to discover. Think about differences in culture and etiquette: when many British people go abroad, they assume that people in the new country don’t queue because they are rude, rather than because queuing is a specifically British form of etiquette. This demonstrates that identifying cultural differences can be difficult, as it is natural to assume that one’s own culture is universal if it is all you have experienced. Nonetheless, all these differences can have an impact on an organisation’s operations and therefore need to be understood to ensure a successful expansion.

    How can this Impact Operations?

    Say that you are a medium-sized business that is based in the UK and is looking to expand into the USA. Running from the UK, you are reliant on open banking to link your accounting software to your bank accounts, allowing you to automate some accounting work. However, you are surprised to discover that open banking isn’t a feature of most American bank accounts, and that you will therefore need to perform this manually. This makes it harder for your business to function in the US than in the UK.

    Here, we can see how differences between countries (in this case, in technology and infrastructure) can cause problems for organisations. However, this problem isn’t likely to lead to a failed expansion as such banking differences are easy to discover (for example, through discussions with prospective banks). The major issue is when an organisation is unable to discover the differences between the two countries, or simply assumes that they are the same. As discussed above, cultural differences can be difficult to identify. However, they can still have a major impact on operations, especially interactions with customers: this 2021 article from the Boston Consulting Group provides an overview of their research into the cultural differences between eighteen different countries, giving examples of smaller cultural differences (such as the differing reasons why people snack) as well as looking at overall trends. One example that they gave was how French people usually focus on safety when deciding what car to buy, whilst Americans usually focus how the car is perceived. As this is a cultural difference, it is difficult to discover or quantify, meaning that organisations may be unable to take this into consideration. We could imagine a French car manufacturer being unable to work out why its safety-focused advertising campaign didn’t resonate with American audiences, as they assume that people will focus on the same things in different countries. This suggests that both more and less tangible differences can have major impacts on your organisation’s operations.

    Nonetheless, our cultural expertise isn’t limited to helping organisations work within UK culture. A Bulgarian ecommerce company requested our support in creating a Black Friday-based marketing campaign, encouraging its clients to use its services for their sales. However, as Black Friday is a relatively new idea in Bulgaria, this campaign involved advertising this idea as much as our client’s services. To successfully support them, we provided information about Black Friday that could be used to help advertise it to a new culture. This advertising campaign was successful, demonstrating that we have the geographical and cultural sensitivity to integrate operations into new countries.
